Reserves Information for Faculty

Who may place materials on Electronic Reserve?

Faculty members and instructors teaching courses at NC State.

How do I submit my request?

Complete a Reserve Request Form, available via the Web or send an e-mail to ccservices@lists.ncsu.edu. Indicate which materials you wish placed on print reserve and which are for electronic reserve. To request to have forms faxed or mailed to you, call 919-515-3043.

How long will it take to process my request?

Materials are processed as quickly as possible, but variables related to availability and format of material can affect the turnaround time for individual requests. For best results, instructors are encouraged to submit requests as far in advance as possible, particularly at the beginning of semesters, when the volume of requests is heavy. Inclusion of a course syllabus with the request, indicating the order in which specific items are needed, also helps the reserve staff to prioritize processing of requests during busy times. We will do our best to accommodate rush orders when needed. Please contact a staff member to arrange for rush processing or other special handling.

What can I do to speed processing of my request?

  • Provide citations that are as complete and accurate as possible, accompanied by a syllabus that lists the date for each reading assignment.
  • Give us an accurate "date needed" for each item you are requesting. Putting the same date on the entire semester's reserve readings defeats the purpose of this important piece of information.
  • We check every request for copyright compliance. If you find yourself asking us to place large portions of a book on electronic reserve, consider making it a required text available at the campus bookstore.
  • When submitting electronic files, please provide any descriptive or identifying information that should appear with the file, such as course number and date needed.

Removal of materials from reserve

Materials are normally removed from reserve at the end of each semester (or summer session), except when the course is being taught again by the same instructor, in the following Spring or Fall semester (whichever comes first). Reserve staff consult TRACS listings to determine whether the course will be taught again. Print reserve materials belonging to the instructor are returned to the instructor; those belonging to the Libraries are returned to the stacks. Electronic reserve materials are deactivated. Instructors should contact reserve staff at 919-515-3043 or ccservices@lists.ncsu.edu if their course listings in TRACs are not correct.

What formats are appropriate for Electronic Reserve submission?

Print materials, such as journal articles, book chapters, course notes, exams, problem sets, etc. These items will be scanned or linked and made available via the Web in portable document format (PDF).

Electronic files and images in commonly recognized file formats (such as Word ".doc," Text ".txt," HTML ".htm," or JPEG ".jpg") may also be submitted. These materials may be e-mailed as attachments to, or may be submitted either on diskette or CD. Questions about submitting materials in electronic format may be e-mailed to ccservices@lists.ncsu.edu.

How do I prepare my print materials for Electronic Reserve submission?

  • Provide complete citations for each item to be scanned.
  • Provide the cleanest possible copy for scanning (note: library staff will photocopy materials for scanning, or scan directly from the original, if the items are owned by NCSU Libraries).
  • Originals must be 8 1/2 X 11 inches.
How do copyright and fair use apply to Electronic Reserve?

Electronic reserve is an extension of traditional library services and is provided in a manner that respects fair use rights, the rights of copyright holders, and current copyright law. In accordance with applicable policies and guidelines, the Libraries will not place materials on the electronic reserve system without permission if the nature, scope, or extent of copying is judged to exceed the reasonable limits of fair use.

Note: The Reserve Room staff will assist with acquiring copyright permission when necessary.

Will my visually disabled students have access to e-reserves?

Electronic reserve items are text-searchable PDFs, designed for use with screen-reading software. Those who have questions about accessibility of electronic reserve course materials can contact the reserve staff at 919-515-3043 or via e-mail at ccservices@lists.ncsu.edu for additional information.

Faculty are welcome to include information about library services for users with disabilities in their syllabus or course homepage.
